PBS Lettings and Management

PBS Lettings is the component which deals with all lettings, accounts and property management activities. It has a number of pioneering features currently not available in most property lettings software today. As with all our software, the PBS Lettings, Accounts and Property Management component is totally integrated with the Sales and Diary components.
Property Management
Within the lettings manager, PBS enables the user to record and maintain data linked to day-to-day activities associated with lettings. The following list is typical of the data held:
- Tenancy agreements
- Mail merging
- Gas safety, electrical and PAT safety checks
- Tenancy renewals
- Property inspections
- Utility letters (move-in/out)
- Repossession procedures and notices
- Pack headers
- Property maintenance and tracking of property maintenance
- Portfolio management and full history of all tenants for the property
- Inventory reports
PBS also offers the unique facility to link landlords’ statements and contractual information to a secure website, which can be customised to suit the client's needs. The website allows landlords to log on securely and view useful and important information about their properties, contracts and accounts, accessible anytime and anywhere in the world. This information includes:
- Tenancy details
- Statements and invoices
- Details of the current tenants
- Property inspections
- Details of when gas and electrical checks are due
Reports
The reporting module has one of the most extensive arrays of easily accessible reports. Most reports allow automatic criteria setting to limit the scope of the report, thereby allowing the user to produce the specific information required.
Reports fall into a number of categories which include financial information and management. Reports can also be assigned to a printer, fax, or file, or sent within the integrated e-mail manager. Some of the reports include:

Letter Manager
The letter manager facilitates the generation of a range of letters to clients, landlords and other agencies. Feature-rich e-mails can be dynamically created; complete with cover letters and full property particulars; and sent to all matching clients. Letters are stored within the system as templates, thereby saving the need to search for originals or write letters from scratch.
